The Australian High Commission, New Delhi, is seeking applications for full time or part-time position of Personal Assistant to Deputy High Commissioner at the Australian High Commission, New Delhi. The applicant must hold or be able to maintain in a short timeframe an Australian Government Security Clearance. Flexible work arrangements will also be considered.

Subject to the successful completion of up to a six month probationary period, satisfactory medical check and background verification, the successful applicant will be offered a two-year contract of employment, inclusive of the probation period. The contract may be extended subject to agreement between the employer and employee.

The commencing salary will be determined based on the qualifications and experience of the selected candidate. The package will include annual leave, limited medical reimbursements, Diwali bonus, provident fund provisions and gratuity provisions when service length is sufficient. The position encompasses a salary of INR 58, 400 per month. A further allowance, up to a maximum of INR 130, 000 per month, may be payable to the successful applicant.

About the Position

The role of the Personal Assistant to Deputy High Commissioner is to be part of the executive team at the Australian High Commission, New Delhi. Working with the Deputy High Commissioner, High Commissioner and senior management will give a unique experience in a diplomatic mission and a window into the bilateral relationships with India. The role will be to assist the Deputy High Commissioner to perform his/her duties in a busy overseas mission.

The key responsibilities of the position include, but are not limited to:

  1. Draft correspondence on behalf of the Deputy High Commissioner, including responses to ministerial representations and High Commissioner representations.
  2. Arrange meetings for the Deputy High Commissioner.
  3. Manage the Deputy High Commissioner’s electronic diary.
  4. Organize travel/visas/accommodation and travel programs for the Deputy High Commissioner and other officers, as required.
  5. Manage events, including representational functions liaising closely with Deputy High Commissioner’s domestic staff.
  6. Manage day-to-day filing and record keeping for the Deputy High Commissioner, including use of EDRMS.
  7. Provide extensive liaison between Deputy High Commissioner, High Commissioner and senior officers in the Mission, and Consuls-General in India and coordinate the preparation of briefing material for meetings, reports, speech notes and travel. Provide back-up for the High Commissioner’s Executive Assistant
  8. Other duties as directed.

 Qualifications/Experience

  1. Education: Completion of a graduate level degree is desirable.
  2. Experience as Executive/Personal Assistant to a senior manager or similar employment experience is desirable
  3. Ability to obtain and hold a Negative Vetting 1 Security Clearance and capacity to provide proof of Australian citizenship.

Selection Criteria

  1. Superior office management and organisational skills, including hospitality supervision and support skills.
  2. Excellent oral and written communication skills, highly developed liaison and interpersonal skills.
  3. Experience as Executive/Personal Assistant to a senior manager or similar employment experience.
  4. A working style that is team oriented and flexible and the ability to handle pressure; and
  5. Ability to obtain and hold a Negative Vetting 1 Security Clearance and capacity to provide proof of Australian citizenship.
